What is videoconferencing?

This interactive tool combines the use of video, computing, and communications technologies to allow people in different locations to meet face-to-face and have a live discussion.

Videoconferencing can help to save time and travel expenses by making it logistically and financially easier for groups and organizations to meet. Because staff do not lose time spent traveling to meetings, it can boost productivity. It can also aid communication in activities such as distance learning, teaching, advising, tutoring, telecommuting, cross-cultural experiences, job interviews, and language learning.

What types of videoconferencing are available?

Multi-point Videoconferencing

In a Multi-point Videoconference, video calls take place among three or more locations, and all locations participate in the same videoconference, similar to a telephone conference call. All participating sites are linked through a device called the Video Bridge. To get started with planning your multi-point videoconference, review the list below.

  1. Determine what room capabilities you need. Videoconference rooms at Penn State, although similar, have differences that may affect your decision on which one to use. You should consider the following when reserving a video conference room; review the Videoconference Room Directory to determine which room meets your needs.
    • Which Location?
    • Does it have enough seating?
    • Does the room have the peripheral equipment you need?
      • VCR
      • Video projector
      • Document camera
      • Scan Converter
      • Telephone
    • What are the room hours?
    • Will technical assistance be available when you need it?
    • Do you need a LAN connection?
    • Do you need an ISDN or an IP transport option?
  2. Discuss your needs with the Videoconference Technical Contacts.
  3. Reserve the room that meets your needs.
  4. Reserve the Penn State Video Bridge.
  5. Request user training.
  6. Request testing if videoconferencing with non-Penn State rooms.
  7. Get familiar with the videoconferencing and peripheral equipment you plan to use.
  8. Assure that your presentation method can be viewed by the participants at the other videoconferencing site (far-end site).
  9. Send handouts to far-end site in advance of the conference.
  10. Arrive early at the conference. You should initiate your connection and set up your camera positions at least 15 minutes before the conference starts.
