The following procedure provides guidelines for obtaining keys to University Support Building 2 and the Telecommunications Building for those scheduling conferences during hours other than the normal work day as defined in the grid below.
Customers will need to sign out a key from the Network Operations Center (5-4662) when scheduling an interactive video conference in an TNS video conference room at University Support Building 2 for a time outside of normal business hours, or at the Telecommunications Building outside of the normal Network Operations Center (NOC) hours.

Customers, including students*, may have access to the rooms 15 minutes prior to the beginning of the class, meeting, or conference, depending upon how closely another class, meeting, or conference has been scheduled for the same room.
* Students may not use the rooms as study or "waiting" areas prior to 15 minutes before the scheduled class at any time of the day.
If a customer requests access to a conference room at a time other than the hours given above, inform them that they must sign out a key from the Network Operations Center. If it is a first-time user, transfer them to Bill Welch or Emily Anselmi after the scheduling information has been obtained.
The key procedure will be explained by Bill Welch or Emily Anselmi and their name added to our list of people authorized to sign out a key. After users have gone through the authorization process and have had their name added to the list of authorized personnel, they will be able to deal directly with the Network Operations Center to sign out keys for scheduled conferences.
At this time, overnight key sign-outs are not supported. Requests for access to the Telecommunications Building or requests to sign out keys overnight will be reviewed on a case-by-case basis by Bill Welch or Emily Anselmi.
The Network Operations Center personnel are authorized to unlock the Telecommunications Building and to distribute keys to the Telecommunications Building and USB2 to allow conferees access to the video conference rooms when conferences are scheduled during hours other than normal TNS business hours, as specified above. To ensure that conferees have access to the scheduled rooms, the following guidelines have been established.
The Operator scheduling the conference rooms shall send an email to the NOC (Netop) giving the time, date, and location of the conference. The email should state when the customer will be picking up the keys.
If the conference is in the Telecommunications Building, the NOC staff will know, from the information in the email, when to unlock the doors. The doors to the Telecommunications Building will be unlocked by the NOC 15 minutes prior to the scheduled time of the conference.
If the conference is scheduled for USB2 and the keys are to be picked up during non-TNS business hours, the NOC will then be aware that someone will be coming in for the keys.
